Terms of Service

These terms apply when you use DocuLetra. By creating an account or using the service you agree to them on behalf of yourself and any organisation you represent.

1. About these terms

DocuLetra is provided by Cranford Tech Limited, registered in England and Wales with company number 15069364, registered office 3rd Floor, 86-90 Paul Street, London, England, EC2A 4NE (“we”, “us”). “You” means the person or organisation using DocuLetra to send documents. People who only receive a document to sign are “signers”.

2. The service

DocuLetra lets you prepare documents in Claude, store reusable templates in your Google Drive, send documents for electronic signature and track their status. To use it you need a Google account and access to Claude, which are provided by Google and Anthropic under their own terms. We may change, add or remove features over time.

3. Your account

  • You must be at least 18 and use DocuLetra for business or professional purposes.
  • You sign in with Google. Keep your Google account secure; you are responsible for activity on your DocuLetra account.
  • Tell us promptly at support@doculetra.com if you think your account has been misused.

4. Plans, payment and fair use

  • Free: 1 template and 3 documents sent per month, with no payment details required.
  • Business: $19 per month for unlimited templates and documents, subject to fair use. Fair use means normal business sending; we may contact you if your use goes well beyond typical use (around 300 documents a month) to agree a suitable plan.
  • A document counts when it is sent for signature, however many signers or pages it has. Drafts, previews, reminders and status checks do not count.
  • Paid plans renew automatically until cancelled. You can cancel at any time and keep access until the end of the paid period. Fees are not refundable for partial periods, unless the law requires otherwise.
  • We may change prices with at least 30 days’ notice by email.

5. Acceptable use

You must not use DocuLetra to:

  • send unsolicited or bulk messages, or contact people you have no genuine reason to send a document to;
  • impersonate anyone, mislead signers, or collect information under false pretences (phishing);
  • send unlawful, fraudulent, harassing or infringing content;
  • interfere with the service, get around usage limits, or access other customers’ data.

To protect signers and our email reputation we apply sending limits, and we may pause sending or suspend an account that breaks these rules, receives spam complaints or has an unusually high bounce rate. Where we can, we will tell you why.

6. Your documents and data

  • You own your documents and the information in them.
  • You give us permission to store, process and transmit them only as needed to provide DocuLetra.
  • You confirm you have the right to send each document to its recipients and to share their personal data with us. You are the controller of signers’ personal data and we process it on your behalf; our Data Processing Agreement applies and is available on request.

7. Electronic signatures

DocuLetra provides simple electronic signatures with an audit trail. These are generally legally recognised, for example under the US ESIGN Act and UETA, and the EU and UK eIDAS rules. Some documents need a different form of signature, such as wills, certain property transfers or documents that must be witnessed or notarised, and requirements vary by country.

You are responsible for deciding whether an electronic signature is suitable for each document. We are not a party to your documents and we do not give legal advice.

8. Documents prepared with Claude

Claude may help you write, convert or tag documents. AI output can contain mistakes, so you must review every document, including its wording, placeholders and signature fields, in the preview before approving it for sending. Nothing is sent until you approve it, and you are responsible for the content of what you send. We are not responsible for content generated by Claude.

9. Third-party services

DocuLetra relies on services provided by others, including Google, Anthropic and our signing provider Documenso. Their availability and terms are outside our control, and changes to them may affect DocuLetra.

10. Availability

We work to keep DocuLetra available and reliable but do not guarantee it will be uninterrupted or error-free. We may carry out maintenance, which we try to schedule to minimise disruption.

11. Ending your use

You can stop using DocuLetra and close your account at any time by emailing support@doculetra.com. We may suspend or end your access if you seriously or repeatedly break these terms. Documents already signed remain in your Google Drive and with the parties who received them, and we keep audit records as described in our Privacy Policy.

12. Disclaimers and liability

DocuLetra is provided “as is”. To the extent the law allows, we exclude implied warranties, and we are not liable for indirect or consequential losses, or for loss of profit, revenue, data or goodwill. Our total liability in any 12-month period is limited to the greater of the fees you paid us in that period and US$100. Nothing in these terms limits liability that cannot be limited by law, such as for fraud or for death or personal injury caused by negligence.

13. Indemnity

You will cover our reasonable costs from claims by third parties arising from the documents you send or your breach of these terms.

14. Changes to these terms

We may update these terms. For material changes we will give you at least 30 days’ notice by email; continuing to use DocuLetra after that means you accept the new terms.

15. Governing law

These terms are governed by the laws of England and Wales, and its courts have exclusive jurisdiction, unless the law where you live requires otherwise.
